2. Booking Process
a) How to Book
- Browse our tour packages or contact us via WhatsApp/phone
- Confirm your itinerary, dates, and number of travellers
- Receive a detailed quote with inclusions/exclusions
- Make advance payment to confirm booking
- Receive booking confirmation with itinerary
b) Booking Confirmation
- A booking is confirmed only after advance payment is received
- We will issue a written confirmation via WhatsApp/email
- Verbal confirmations are not binding
c) Required Documents
- Original photo ID (Aadhaar, Passport, or Driving Licence) for all guests
- Required for tour permits (especially White Rann)
- Children must carry birth certificate or school ID
3. Payment Terms
a) Advance Payment
- 50% advance required to confirm regular tour bookings
- 100% advance required for Tent City Dhordo and peak season bookings
- Balance payment due before tour commencement
b) Accepted Payment Methods
- UPI (Google Pay, PhonePe, Paytm)
- Bank Transfer (NEFT/RTGS/IMPS)
- Credit/Debit Cards (via payment gateway)
- Cash (only in our Bhuj office)
c) Currency
- All prices are in Indian Rupees (₹/INR)
- Foreign currency payments accepted at current exchange rates
- Exchange rate at time of payment applies
4. Pricing & Inclusions
a) Price Inclusions (vary by package)
- Accommodation as per chosen category
- Meals as specified (breakfast/dinner)
- Local transportation in AC vehicle
- Driver charges, fuel, tolls, parking
- Sightseeing as per itinerary
- Tour permits (where applicable)
b) Price Exclusions
- Personal expenses (laundry, phone calls, tips)
- Travel insurance
- Optional activities (paragliding, ATV, etc.)
- Lunch (unless specified)
- Entry fees to monuments (where not included)
- Anything not mentioned in inclusions
c) Price Validity
- Quoted prices are valid for 7 days from quotation date
- Prices may change without notice for new bookings
- Confirmed bookings will honor the quoted price
5. Tour Itinerary
a) Itinerary Changes
We reserve the right to modify the itinerary due to weather conditions, government regulations, permit restrictions, operational requirements, safety concerns, or festival/event timings.
b) Vehicle/Hotel Substitution
- We may substitute similar category vehicles or hotels
- Substitutions will be of equivalent or higher standard
- Customers will be informed in advance where possible
c) Tour Timings
- Pick-up and drop times are approximate
- Delays due to traffic, weather, or permit checkpoints may occur
- Customers should plan train/flight schedules with buffer time
6. Customer Responsibilities
a) You agree to:
- Provide accurate personal information at the time of booking
- Carry valid identification documents
- Follow local laws and customs
- Respect local culture and traditions
- Follow safety instructions from guides/drivers
- Be punctual for pickups and tour starts
- Inform us of any medical conditions or dietary restrictions
- Take responsibility for personal belongings
b) You must NOT:
- Engage in illegal activities during the tour
- Damage hotel property or vehicles
- Disrespect drivers, guides, or fellow travellers
- Carry prohibited items (drugs, weapons, etc.)
- Take photos in restricted areas (border, military zones)
- Litter or harm the environment
7. Cancellation Policy

Summary:
- 30+ days before arrival: 90% refund
- 15–30 days before arrival: 60% refund
- Less than 15 days: No refund

8. Liability & Insurance
a) Our Liability
We are responsible only for the services we directly provide. We act as an intermediary for hotels, transport, and other services.
b) We are NOT liable for:
- Loss of personal belongings during the tour
- Theft, accident, or injury during the tour
- Delays due to weather, traffic, or natural causes
- Acts of third parties (hotels, drivers, etc.)
- Force majeure events
- Personal injuries during adventure activities
c) Travel Insurance
We strongly recommend purchasing travel insurance covering trip cancellation/interruption, medical emergencies, loss of belongings, and personal accidents.
9. Photography & Permits
a) Restricted Areas
- White Rann requires permits (we arrange these)
- Some border areas have photography restrictions
- Drone usage requires special permission
b) Customer Photos
- We may take photos during tours for marketing (with consent)
- You may opt out by informing us
- We respect your privacy and obtain consent before public use
10. Customer Conduct
We expect respectful behavior from all our customers. We reserve the right to terminate services without refund for:
- Aggressive or abusive behavior toward staff or fellow travellers
- Substance abuse during tours
- Disrespect to local communities
- Causing damage to property
- Putting other travellers at risk
11. Refunds & Disputes
a) Service Complaints
- Raise complaints during the tour for immediate resolution
- Email complaints within 15 days of tour completion
- Photographic/video evidence helps speed up resolution
b) Dispute Resolution
- First attempt: Mutual discussion via email/phone
- Mediation: Through Bhuj Travel Agent Association
- Legal: Subject to Bhuj jurisdiction only
12. Force Majeure
We are not liable for failure to perform services due to events beyond our control, including natural disasters, government restrictions, strikes, pandemics, festival cancellations, or road closures.
In such cases, we will offer alternative dates (subject to availability), partial refund (case-by-case), or service credit for future bookings.
13. Intellectual Property
a) Our Content
- All content on kutchdiaries.com (text, images, design) is our property
- Protected by copyright laws
- Cannot be copied, reproduced, or distributed without written permission
b) Customer Content
- Reviews and photos shared by customers may be used by us
- With proper attribution (unless customer requests anonymity)
14. Website Use
By using our website, you agree:
- Not to use it for unlawful purposes
- Not to attempt unauthorized access
- Not to introduce viruses or malware
- Not to copy our content for commercial use
- To verify information before relying on it

15. Third-Party Services

These Terms and Conditions are governed by the laws of India. Any disputes will be subject to the exclusive jurisdiction of courts in Bhuj, Gujarat.
